Managed Services (MSP) Templates

A managed service provider sells consistency. The client is paying for the same careful onboarding, the same monthly check and the same quick response, whichever engineer is on shift. In most MSPs, though, the processes that deliver that consistency live in a wiki page, a senior engineer’s head or a PSA ticket template that nobody updates. CheckFlow’s managed services templates turn the recurring, client-facing processes of an MSP into checklists that start on schedule for every client. Each step goes to a named owner, and every completed run is kept as evidence of the work.

The templates are written for MSP owners, service managers, account managers and vCIOs. They sit alongside your PSA, RMM and documentation platform rather than replacing them. Those tools hold the tickets, the agents and the passwords. These checklists run the multi-step human work around them: taking on a new client, reporting to them every month, reviewing the relationship every quarter, and assessing their security and insurance readiness every year. Every template is fully editable, and conditional logic lets one template handle different service tiers and client types.

Each template includes a detailed process guide covering why the process matters, what every phase involves and who should own it. Each one also comes with a live example you can open before you sign up.

MSP Client Onboarding Checklist

The technical side of taking on a new managed services client: collecting and securing admin credentials, a conditional handover from the incumbent provider, network and cloud discovery, RMM, EDR and backup agent deployment, documentation, service desk cutover and a 30-day review with the client.

Monthly Managed Services Report Checklist

A repeatable process for every client’s monthly service report. It reconciles devices and users against the agreement, pulls PSA, RMM and backup data, has the account manager write a plain-language summary with recommendations, and includes a peer review before delivery. An exceptions phase appears in any month with an SLA breach, a failed backup or a security incident.

MSP Quarterly Business Review (QBR) Checklist

Prepare, run and follow up a quarterly business review that the client’s decision-maker will keep attending. It covers the pre-meeting questionnaire, the quarter’s analysis, the vCIO roadmap and budget, an internal pre-brief, a 60-minute agenda, and a follow-up that turns decisions into quotes. A renewal phase appears when the agreement is due within six months.

Client Cybersecurity Risk Assessment Checklist

The annual security posture review for an existing client, organised around the six functions of NIST CSF 2.0. Each finding is evidenced, scored and compared with last year, then presented with a remediation roadmap. The client’s decision on every risk is recorded, and extra tasks appear for clients in regulated sectors.

Cyber Insurance Readiness Checklist

Prepare a client for a cyber insurance application or renewal. It checks and evidences the controls underwriters commonly ask about, such as MFA, EDR, backups, patching, remote access and incident response. A remediation phase closes any gaps before the application is signed.

Why MSPs Use CheckFlow

One template, every client

Build a process once and run it for every client, with the client name, service tier and assigned engineer filled in when it starts. Conditional logic shows the extra steps for a security bundle, an incumbent handover or a renewal, so one template covers every variation.

Recurring work that starts itself

Monthly reports, quarterly reviews and annual assessments are scheduled once per client and then created and assigned automatically. The grid view shows every client’s checklists side by side, so a late report or a missed review is visible before the client notices.

Proof of the work you do

Every run records who completed each step and when, with evidence attached. Share a live, read-only view with the client under your own brand. Read CheckFlow for MSPs or the MSP process management guide for how it fits your stack.

Managed Services Templates — Frequently Asked Questions

Who are the managed services templates for?

+

Managed service providers and IT service companies of any size, from a two-person MSP to a multi-team provider with a dedicated vCIO function. They are written for the people who run the client relationship and the service: owners, service managers, account managers, onboarding engineers and vCIOs. In-house IT teams can use several of them too, particularly the cyber insurance and risk assessment templates.

Does CheckFlow replace our PSA, RMM or documentation platform?

+

No. Your PSA handles tickets, time and billing, your RMM manages and monitors devices, and your documentation platform holds configurations and credentials. CheckFlow runs the multi-step human processes around them, such as onboarding a client, writing a monthly report or preparing a QBR, and it keeps a record of who did each step. It connects to other tools through Zapier and the REST API.

Can I run one template for all my clients?

+

Yes. That is how most MSPs use CheckFlow. You build the process once, then start a checklist per client, either on demand or on a recurring schedule, with the client’s details filled in. Conditional logic shows or hides steps by service tier or client type, so you don’t need to keep a separate copy of the template for each variation.

Can clients see their own checklists?

+

Yes. You can share a live, read-only view of a client’s checklist, such as their onboarding progress or their monthly report, through a secure link, with your own branding and subdomain. The client sees the work being done without needing access to your internal platform.
