In short

Last updated

The CheckFlow AI onboarding checklist generator turns a one or two sentence description of a role into an employee onboarding checklist, free and without an account. It builds the tasks for before the start date, the first day and the weeks after, with fields to record, sign-offs and due dates counted from the start date. Start a free trial to assign the tasks and run it for every new starter.

From a sentence to a first day that is ready.

1. Describe the role

Say who is joining and where, and anything that shapes it, such as “IT set-up before the start date” or “a 90-day review”. Up to 500 characters.

2. Watch it being built

The generator checks the template library first. If nothing fits, it builds the checklist step by step in a preview of the template designer, usually in 15 to 30 seconds.

3. Run it for every new starter

Start a free trial and the checklist becomes a template in your workspace. Assign the tasks to HR, IT and the manager, then start one for each new starter.

The basics

What an onboarding checklist is

An onboarding checklist lists everything that has to happen for a new employee to start well: the paperwork, the equipment and accounts, the introductions and training, and the check-ins that follow. Several people share it, usually HR, IT, the hiring manager and the new starter, and most of it hangs on one date: the first day.

A 30-60-90 day plan is the same idea stretched over the first three months, with goals and a review at each stage. Both work best as a checklist the team runs, because the hard part is not knowing the tasks. It is getting each one done by the right person on time.

  1. 01

The new starter’s details, asked once

Name, role, location and start date, entered when the checklist starts and used for the due dates that follow.

  2. 02

    Before day one

Paperwork, payroll, the laptop and accounts, and a desk or a delivery address, each due a set number of days before the start date.

  3. 03

    Access approved, not assumed

A sign-off on which systems the role needs before anyone creates the accounts.

  4. 04

    The first day

A welcome, how things work, and the policies the new starter must read.

  5. 05

    The first weeks

Training, introductions and the first pieces of real work, each with someone responsible.

  6. 06

    Reviews at 30, 60 or 90 days

Check-ins with a recorded outcome, and extra steps when someone needs more support.

  7. 07

    One owner per task

HR, IT, the manager or the new starter, so nothing waits for someone who does not know it is theirs.

For the goals at each stage of a 30-60-90 day plan, read our 90-day onboarding plan guide. For the full list of tasks, see the employee onboarding checklist guide.

A real example

What the generator built from one sentence

We gave the generator “Employee onboarding for a 20-person accounting firm, with IT set-up before the start date and a 90-day review” on 12 October 2026. Nothing in the library was a close match, so it wrote one: Employee onboarding — accounting firm, to be used once an offer is accepted and the start date is confirmed.

It came back with 15 steps in 2 sections, 7 fields, 4 conditions, 5 due dates and 2 halts. The due dates count from the employee start date, entered when the checklist starts: the laptop and accounts are due 3 days before it, the sign-in check and the workspace 1 day before, and the 90-day review is scheduled 60 days after it and held 90 days after it.

Two steps halt the checklist until they are done: approving the systems the role may use, and checking that sign-in, access and MFA work. The 90-day review records an outcome, On track, Additional support needed or Not meeting expectations, and a step to agree a follow-up support plan is hidden by default, for a condition to show it when it applies.

  • Tasks before the start date and after it
  • Due dates counted from the start date
  • A sign-off on system access
  • A review with a recorded outcome
  • Extra steps that appear only when needed

Tips

How to describe a role for a better first draft

  1. 01

Name the role and the company

“A remote software developer joining a 15-person product team” gives a closer draft than “onboarding”.

  2. 02

Say what must be ready before day one

IT set-up, a contract, a background check: mention it and the draft dates it before the start date.

  3. 03

    Mention the reviews

A 30, 60 or 90-day review becomes a task with its own due date and a recorded outcome.

  4. 04

    Leave out personal details

Describe the role, not the person. The new starter’s name is entered when the checklist starts.

Already have an onboarding document?

The free generator works from one description. Inside CheckFlow there are two more ways to build an onboarding checklist with AI.

  • Import the checklist you already have

Generate with AI reads Word, PDF, Excel and CSV files, web pages and photos of paper checklists, and builds the template in the designer, assigning tasks to your existing groups.

    AI in CheckFlow
  • Build it in conversation

Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can connect to the CheckFlow MCP server, talk your onboarding through with you and build the template in your workspace.

  • Any other checklist

Not onboarding? The same generator builds checklist templates for any process.

AI onboarding checklist generator questions

Is the AI onboarding checklist generator free?

Yes. You can generate and preview onboarding checklists without an account or a credit card. To keep it free for everyone there is a limit on how many templates can be generated in an hour, and a template found in our library does not count towards it. To edit it and run it with your team, start a free trial.

Can it build a 30-60-90 day onboarding plan?

Yes. Describe the role and ask for check-ins or reviews at 30, 60 and 90 days. The generator turns each stage into tasks with due dates counted from the start date, so the plan runs as a checklist instead of sitting in a document. For what to put in each stage, see our 90-day onboarding plan guide.

How are the due dates worked out?

When the description mentions a start date, or a task clearly needs one, the generator asks for the start date when the checklist starts and counts due dates from it, before or after. In our example the laptop and accounts were due 3 days before the start date and the 90-day review 90 days after it. A due date can also follow another task’s completion. You can change any rule in the template designer.

Who does each task?

The free preview does not assign tasks. In CheckFlow you assign each task to a person or a group, such as HR, IT or the hiring manager, and Generate with AI in the app assigns tasks to your existing groups as it builds. Overdue tasks alert their assignees, or Administrators when nobody is assigned.

Can it turn our existing onboarding document into a checklist?

Yes, inside CheckFlow. Generate with AI reads PDF, Word, Excel, CSV and HTML files, JSON exports from other tools, and photos or scans of paper checklists, and builds a template from the process in them. This page works from a written description only.

Why did I get a template from your library instead?

Before generating anything, the generator compares your description with the ready-made templates in our template library. When one is a close match you see it straight away, written by our team rather than by AI. If it is not what you wanted, choose Generate a New One with AI Instead.

What happens to what I type?

Your description is compared with our template library and, if nothing fits, sent to an AI model. Both run on Microsoft Azure for CheckFlow, and your description is not used to train AI models. The description and the template are kept for up to 30 days, so the same request gets the same answer and the template is still there when you sign up. Please leave personal details out. See our privacy policy.

How much does CheckFlow cost after the trial?

The free trial lasts 14 days with no credit card. After that, the Business plan is $10 per user per month, or $9 billed annually, and it includes AI credits for building more templates with Generate with AI. Full pricing at checkflow.io/pricing.
