In short

Last updated

The CheckFlow AI offboarding checklist generator turns a one or two sentence description of a departure into an employee offboarding checklist, free and without an account. It builds the handover, access removal, equipment return and HR steps, with fields to record evidence, sign-offs and due dates counted from the last working day. Start a free trial to assign the steps and run it for every leaver.

From a sentence to a leaver checklist that closes every gap.

1. Describe the departure

Say who is leaving and anything that matters, such as “access removed on their last day” or “laptop returned by courier”. Up to 500 characters.

2. Watch it being built

The generator checks the template library first. If nothing fits, it builds the checklist step by step in a preview of the template designer, usually in 15 to 30 seconds.

3. Run it for every leaver

Start a free trial and the checklist becomes a template in your workspace. Assign the steps to HR, IT and the manager, then start one for each person who leaves.

The basics

What an offboarding checklist is

An offboarding checklist lists everything that has to happen when someone leaves: handing over their work, removing their access, getting company equipment back and closing their pay and records. Like onboarding it is shared by HR, IT and the manager, and most of it hangs on one date: the last working day.

The risks are on the IT side. An account left open, a shared password nobody changed or a laptop that never came back are easy to miss when the steps live in someone’s head, and hard to prove afterwards without a record.

  1. 01

    The leaver’s details, asked once

Name, role, manager and the last working day, entered when the checklist starts and used for the due dates that follow.

  2. 02

    A handover plan

Work in progress, client contacts and files passed to a named person before the last day.

  3. 03

    Ownership transferred

Documents, shared drives, social and ad accounts and anything else the leaver owns, moved to someone who stays.

  4. 04

    Access removed on time

Every system the leaver can sign in to, removed on the last day, with when it was done and any evidence recorded.

  5. 05

    Equipment returned

Laptop, phone, badge and keys checked off against a list, with a follow-up when something is missing.

  6. 06

    HR and payroll closed

Final pay, benefits, records and the exit interview, with a reference where one exists.

  7. 07

    A final check

Someone reviews the checklist and closes it, so the record shows the departure was complete.

For the full list of steps, read our HR offboarding checklist guide and the IT offboarding security guide. For how the two processes mirror each other, see onboarding vs offboarding checklists.

A real example

What the generator built from one sentence

We gave the generator “Offboarding for an employee leaving a 50-person marketing agency, with system access removed on their last day and equipment returned” on 12 October 2026. Nothing in the library was a close match, so it wrote one: Marketing agency employee offboarding, to be run once a departure is confirmed.

It came back with 13 steps in 3 sections, 16 fields, 3 conditions, 4 due dates and 1 halt. It asks for the employee’s last working date and time when the checklist starts. Removing system access is due at that time and halts the checklist until it is done, with a required date and time of removal and a place to upload evidence. Verifying that access is disabled is due when the removal step is completed.

Returned equipment is checked against a list of items, with a required status: All listed items returned, or Missing or incomplete. A step to follow up on outstanding equipment is hidden by default, for a condition to show it when it applies, and is due 2 days after the equipment check.

  • A handover before the last day
  • Access removal due on the last day, with evidence
  • Due dates that follow other steps
  • A follow-up only when equipment is missing
  • HR and payroll closed with a reference

What the generator drafts, and what you add

The free generator gives you a first draft from a description. The parts that depend on your systems and your team are finished in CheckFlow.

Tips

How to describe a departure for a better first draft

  1. 01

Say who is leaving and from where

“A contractor finishing a six-month IT project” gives a closer draft than “offboarding”.

  2. 02

    Say when access must go

“At 5pm on their last day” or “as soon as notice is given” sets the due date for the access step.

  3. 03

    Name what must come back

A laptop by courier, a badge, a company car: mention it and the draft adds the checks and a follow-up.

  4. 04

    Leave out personal details

Describe the role, not the person. The leaver’s name is entered when the checklist starts.

Already have a leaver process written down?

The free generator works from one description. Inside CheckFlow there are two more ways to build an offboarding checklist with AI.

  • Import the checklist you already have

Generate with AI reads Word, PDF, Excel and CSV files, web pages and photos of paper checklists, and builds the template in the designer, assigning steps to your existing groups.

    AI in CheckFlow
  • Build it in conversation

Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can connect to the CheckFlow MCP server, talk your leaver process through with you and build the template in your workspace.

    Read the MCP guide
  • Any other checklist

Not offboarding? The same generator builds checklist templates for any process.

AI offboarding checklist generator questions

Is the AI offboarding checklist generator free?

Yes. You can generate and preview offboarding checklists without an account or a credit card. To keep it free for everyone there is a limit on how many templates can be generated in an hour, and a template found in our library does not count towards it. To edit it and run it with your team, start a free trial.

What should an offboarding checklist include?

The leaver’s details and last working day, a handover plan, ownership of files and accounts transferred, every system’s access removed on time, equipment returned against a list, HR and payroll closed, and a final review. The generator drafts these from your description; our HR offboarding checklist guide covers each one in detail.

How does it make sure access is removed on the last day?

In our example the access removal step was due at the employee’s last working date and time, entered when the checklist starts, and it halted the checklist until it was done. It asked for the time access was removed and allowed evidence to be uploaded. In CheckFlow you assign that step to IT, and if it runs overdue its assignees are alerted.

What if equipment is not returned?

In our example the equipment check recorded a status, All listed items returned or Missing or incomplete, and a follow-up step was hidden by default, for a condition to show it when it applies, due 2 days after the check. You can edit the condition and the timing in the template designer.

Can it turn our existing leaver process into a checklist?

Yes, inside CheckFlow. Generate with AI reads PDF, Word, Excel, CSV and HTML files, JSON exports from other tools, and photos or scans of paper checklists, and builds a template from the process in them. This page works from a written description only.

Why did I get a template from your library instead?

Before generating anything, the generator compares your description with the ready-made templates in our template library. When one is a close match you see it straight away, written by our team rather than by AI. If it is not what you wanted, choose Generate a New One with AI Instead.

What happens to what I type?

Your description is compared with our template library and, if nothing fits, sent to an AI model. Both run on Microsoft Azure for CheckFlow, and your description is not used to train AI models. The description and the template are kept for up to 30 days, so the same request gets the same answer and the template is still there when you sign up. Please leave personal details out. See our privacy policy.

How much does CheckFlow cost after the trial?

The free trial lasts 14 days with no credit card. After that, the Business plan is $10 per user per month, or $9 billed annually, and it includes AI credits for building more templates with Generate with AI. Full pricing at checkflow.io/pricing.
