The CheckFlow AI SOP generator turns a one or two sentence description of a procedure into a standard operating procedure, free and without an account. It writes the SOP as a checklist template: sections, ordered steps with short instructions, fields to record, sign-offs and steps for certain answers. Start a free trial to edit it, assign the steps and run it, so each time the procedure is followed leaves a record.
From a sentence to an SOP people follow.
1. Describe the procedure
Say what the procedure is and where it happens, such as “closing a retail store at night” or “refunds over £100 need a manager”. Up to 500 characters.
2. Watch the SOP being written
The generator checks the template library first. If nothing fits, it writes the SOP step by step in a preview of the template designer, usually in 15 to 30 seconds.
3. Run it, don’t file it
Start a free trial and the SOP becomes a template in your workspace. Assign the steps to your team, then run it each time the procedure is done.
The basics
What a standard operating procedure is
A standard operating procedure, or SOP, is a written set of steps for a routine task, so the task is done the same way whoever does it and however often. Teams write SOPs for work that repeats and causes trouble when it goes wrong: opening and closing a site, handling cash, onboarding a new starter, a month-end close, a software release, cleaning equipment.
Most SOPs share the same parts. A good one is short enough to follow on the job and specific enough that two people would do the same thing.
- 01
Purpose and scope
What the procedure is for, when it applies and when it does not. One or two sentences is enough.
- 02
Steps in order
Each step starts with a verb and does one thing. Long procedures are grouped into sections, such as “Customer close”, “Till and records” and “Premises and exit”.
- 03
Instructions where they are needed
The detail that prevents mistakes: which form, which setting, which threshold. It belongs in the step it applies to, not in a separate document.
- 04
What to record
The readings, counts, answers and photos that show a step was done properly.
- 05
Checks that cannot be skipped
Sign-offs and safety checks that must be done before the procedure moves on.
- 06
What to do when something is wrong
The extra steps for exceptions, such as reporting a cash discrepancy, written so they only apply when they are needed.
- 07
An owner and a history of changes
Someone responsible for keeping the SOP accurate, and a record of what changed and when.

A real example
What the generator built from one sentence
We gave the generator “Create an SOP for closing a retail store at night” on 12 October 2026. Nothing in the library was a close match, so it wrote one: Nightly retail store closing, with a description saying it runs at the end of each trading day and follows the store’s own cash-handling and alarm procedures.
It came back with 12 steps in 3 sections, 3 fields, 3 conditions and 2 halts. The till step asks for a Reconciliation result, Balanced or Discrepancy, and the step to record and report a cash discrepancy is hidden by default, for a condition to show it when it applies. Two steps halt the checklist until they are done: confirming the customer areas are clear, and setting the alarm before leaving.
It set no due dates for this one: a nightly close has no deadline beyond the night itself. When the description mentions timing, or a step clearly needs one, such as tasks that must be done before a start date, the generator adds due dates. A different description gives a different SOP, and the same description within 30 days gives the same one back.
- Sections and ordered steps
- Short instructions on each step
- Fields to record, required where it matters
- Steps that appear only for certain answers
- Halts that stop the checklist moving on
Draft and finish
What the generator drafts, and what you add
The free generator gives you a first draft from a description. The parts of an SOP that depend on your team, your systems and your history are finished in CheckFlow.
| Part of the SOP | Free generator | In CheckFlow |
|---|---|---|
| Purpose and scope | A name and a short description | Edit both, and add an article or files beside the template in the Library |
| Steps and instructions | Sections, ordered steps and short instructions | Change, reorder or add any step |
| What to record | Fields on the steps that need them | Any of the 19 field types, marked required where it matters |
| Exceptions | Steps that appear only for certain answers | Edit the conditions or add your own |
| Sign-offs | Halts on steps that must be done first | Assign the sign-off to the person or group who gives it |
| Who does each step | Not assigned | Assign steps to people or groups; Generate with AI in the app assigns them to your groups as it builds |
| History of changes | Not kept | Every save is a new version, and running checklists stay on the version they started with |
Already have SOPs in Word or PDF? Inside CheckFlow, Generate with AI imports them as written or improves them as it goes. See SOP software for how teams run SOPs as checklists.
Tips
How to describe a procedure for a better first draft
- 01
Name the procedure and the setting
“Closing a retail store at night” or “end-of-day deep clean of a commercial kitchen” gives a closer draft than “closing SOP”.
- 02
Mention the rules that shape it
A threshold, a sign-off or an exception, such as “refunds over £100 need a manager” or “if a reading is out of range, quarantine the stock”.
- 03
Say when things are due
If steps have deadlines, such as “within 24 hours of the request”, include them. The generator also adds due dates where a process clearly needs them.
- 04
Leave out personal details
Describe the procedure, not the people. Names and contact details are not needed to build a good SOP.

A longer SOP, or one built from your own documents?
The free generator works from one description. Inside CheckFlow there are two more ways to build an SOP with AI.
Import the SOPs you already have
Generate with AI reads Word, PDF, Excel and CSV files, web pages and photos of paper checklists, and builds the template in the designer, assigning steps to your existing groups.
AI in CheckFlowBuild it in conversation
Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can connect to the CheckFlow MCP server, talk the procedure through with you and build the template in your workspace.

AI SOP generator questions
Is the AI SOP generator free?
Yes. You can generate and preview SOPs without an account or a credit card. To keep it free for everyone there is a limit on how many can be generated in an hour, and an SOP found in our template library does not count towards it. To edit the SOP and run it with your team, start a free trial.
What does the generated SOP include?
A name and a short description, the steps grouped into sections, short instructions on the steps that need them, fields to record answers, steps that only appear for certain answers, halts on steps that must be done before the checklist moves on, and due dates where the description mentions timing or a step clearly needs one. When it finishes it shows how many of each it built.
Can I download the SOP as a Word document or PDF?
The generator builds an SOP that runs as a checklist, not a document file. Once it is in CheckFlow you can print a checklist or save it as a PDF from your browser’s print dialog, and checklist and task data can be exported.
How is an SOP different from a checklist?
An SOP says how a task should be done; a checklist confirms it was done. In CheckFlow they are the same thing: the instructions sit inside each step, and every time someone follows the SOP the checklist records who did each step, what they entered and when. See SOP software for more.
Can it turn my existing SOP documents into checklists?
Yes, inside CheckFlow. Generate with AI reads PDF, Word, Excel, CSV and HTML files, JSON exports from other tools, and photos or scans of paper checklists, and builds a template from the procedure in them. This page works from a written description only.
Why did I get a template from your library instead?
Before generating anything, the generator compares your description with the ready-made templates in our template library. When one is a close match you see it straight away, written by our team rather than by AI. If it is not what you wanted, choose Generate a New One with AI Instead.
What happens to what I type?
Your description is compared with our template library and, if nothing fits, sent to an AI model. Both run on Microsoft Azure for CheckFlow, and your description is not used to train AI models. The description and the template are kept for up to 30 days, so the same request gets the same answer and the template is still there when you sign up. Please leave personal details out. See our privacy policy.
How much does CheckFlow cost after the trial?
The free trial lasts 14 days with no credit card. After that, the Business plan is $10 per user per month, or $9 billed annually, and it includes AI credits for building more templates with Generate with AI. Full pricing at checkflow.io/pricing.
