In short

Last updated

The CheckFlow AI checklist template generator turns a one or two sentence description into a checklist template, free and without an account. It checks the library of ready-made templates first and, if none fits, builds one step by step with sections, fields, conditional steps, sign-offs and due dates. Start a free trial to edit the template and run it with your team.

From a sentence to a running checklist.

1. Describe the process

One or two sentences is enough. Say who it is for and anything that matters, such as “with a manager sign-off” or “for a team of five”.

2. Watch it being built

Over 15 to 30 seconds the template appears step by step in a preview of the template designer. If the library has one that fits, it loads straight away.

3. Use it in CheckFlow

Start a free trial and the template is added to your workspace. Change anything, assign steps to your team, then run it once or on a schedule.

What it builds

More than a list of steps

A checklist earns its keep when it records what was done and adapts to what happened. The generator uses the same building blocks you would use in the template designer.

  • Sections and steps

The process broken into clear, ordered steps, grouped under headings, with short instructions where a step needs them.

  • Fields to record

Text, dates, drop-downs and file uploads on the steps where something should be captured, marked required where it matters. For example, “Photos of the damage” on an inspection step.

  • Steps for certain answers

Steps that only appear when an answer calls for them, such as “Raise a repair ticket” only when “Damaged?” is Yes. See conditional logic in checklists.

  • Sensible due dates

Deadlines worked out from when the checklist starts, when an earlier step is finished, or a date entered along the way, such as five days before an employee’s last day.

  • Sign-offs that hold the line

Steps that must be completed before the checklist can move on, for approvals and checks that should never be skipped.

  • Details asked up front

What the checklist needs to know when it starts, such as a start date or who is responsible, used for due dates and for assigning steps automatically.

In the app

Already written down? Import it

Inside CheckFlow, Generate with AI can also read the procedures you already have: a Word SOP, a PDF manual, a spreadsheet, a page exported from another tool, even a photo of a paper checklist. It imports them as written, or improves them as it goes if you ask it to.

It runs in the template designer, assigns steps to your existing groups and uses the AI credits included with your plan. The template it builds is an ordinary template you review and edit before anyone runs it.

Tips

How to get a better first draft

  1. 01

Name the process and who it is for

“Employee onboarding for a 20-person accounting firm” gives a much closer draft than “onboarding”.

  2. 02

    Add what shapes it

An approval, a deadline, a size of team, or a situation that needs extra steps, such as “with IT set-up before day one and a 90-day review”.

  3. 03

    Leave out personal details

Describe the process, not the person. Names and contact details are not needed to build a good template.

  4. 04

    Reword and try again

If the result is not right, change the description and generate again, or start from the closest ready-made template instead.

AI

Already use an AI assistant?

The generator is built for speed: one description in, one template out. For complex processes, connect the assistant you already use to the CheckFlow MCP server instead.

  • Build it in conversation

Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can talk the process through with you, look up your team and groups, and build and refine the template in your workspace, including notifications, Data Sets and linked checklists the generator leaves out.

Your workspace has IT and HR groups, so I will assign the set-up steps to IT and add an overdue-by-one-day notification to HR on the laptop step. I will draft it, validate it and show you before publishing.

Frequently asked questions

Is the AI template generator really free?

Yes. You can generate and preview templates without an account or a credit card. To keep it free for everyone there is a limit on how many templates can be generated in an hour, and a template found in our library does not count towards it. To edit a template and run it with your team, sign up for a free trial.

What should I type to get a good template?

Name the process and who it is for, then add anything that shapes it: an approval, a deadline, a size of team, or a situation that needs extra steps. “Employee onboarding for a 20-person accounting firm, with IT setup before day one and a 90-day review” gives a much closer first draft than “onboarding”. If the result is not right, reword it and generate again.

Why did I get a template from your library?

Before generating anything, the generator compares your description with the hundreds of ready-made templates in our template library. When one is a close match you see it straight away, written by our team rather than by AI. If it is not what you wanted, choose Generate a New One with AI Instead.

Can I edit the template after it is generated?

Yes. When you choose Use This Template and start your free trial, the template is added to your workspace as an ordinary template. Open it in the Template Designer to change any step, field, condition or due date, assign steps to people or groups, and publish it when it is ready.

Can it turn my existing documents into a checklist?

Yes, inside CheckFlow. The generator in the app can read PDF, Word, Excel, CSV, HTML and JSON files, as well as photos and scans, and turn the procedure in them into a template. This page works from a written description only. See how to convert your checklists.

What happens to what I type?

Your description is compared with our template library and, if nothing there fits, sent to an AI model. Both run on Microsoft Azure for CheckFlow, and your description is not used to train AI models. The description and the template are kept for up to 30 days, so the same request gets the same answer and so the template is still there when you sign up. Nothing is added to a CheckFlow workspace until you choose to use the template. Please leave personal details out of your description. See our privacy policy and subprocessors.

How is this different from the CheckFlow MCP server?

The generator turns one description into one template in under a minute, with nothing to set up. The MCP server connects an AI assistant you already use, such as Claude or ChatGPT, to your CheckFlow workspace. The assistant can ask you questions, use your real team and groups, and refine a template over a conversation, so it usually produces a better result for complex processes.

How much does CheckFlow cost?

CheckFlow’s Business plan is $10 per user per month, or $9 billed annually, with conditional logic, dynamic due dates, auto-assignments, recurring checklists and the REST API included. Free trial, no credit card required. Full pricing at checkflow.io/pricing.
