Frequently asked questions

What is a CheckFlow user?

There are four types of users in CheckFlow.

  1. Administrator: has full access to all features in CheckFlow.
  2. Member: does not have access to billing or team management features but can perform any other action. You can apply additional template and checklist permissions to restrict what your members can do.
  3. Guest: has a CheckFlow account and must log in, but can only view and complete tasks that are directly assigned to them. They cannot perform any other actions.
  4. Anonymous: does not need a CheckFlow account. They can access and complete a checklist if it has been shared and they have the link. All their changes are logged as ‘Anonymous User’.

Guest and Anonymous users are free and unlimited.

We need to change the number of users in our team. How will that work?

You can add and remove users in Team Management. You must be an Administrator to do this.

When you add a billable user the change takes effect immediately, and if applicable a prorated charge is applied to your account. A billable user is a user given the role of Administrator or Member.

You can add as many Guest users as you like. They’re free and unlimited.

If you remove users you will not be refunded for the current billing period. The change takes effect from the next billing period.

What forms of payment do you accept?

You can pay for CheckFlow using any of the following: Mastercard, Visa, Maestro, American Express, Discover, Diners Club, JCB and PayPal.

What is your refund policy?

Bad refund policies are frustrating. You feel like the company is just trying to rip you off. We never want our customers to feel that way, so our refund policy is simple: if you’re ever unhappy with CheckFlow, for any reason, just contact our support team and we’ll take care of you.

How do you process payments?

We use Paddle to process your payments. Paddle is one of the world’s most popular and secure payment processors, so you can be confident that your data is safe with them.

We do not store or have access to any sensitive payment details such as credit card numbers. Your payment details are stored with Paddle. We only know as much as we need to about your payments, such as whether a payment has been made.

How secure is CheckFlow?

Protecting the data you trust to CheckFlow is our first priority. CheckFlow uses physical, procedural and technical safeguards to preserve the integrity and security of your information. We regularly back up your data to prevent data loss and aid in recovery. We host data on Microsoft Azure, whose data centres are covered by Microsoft’s independently audited SOC 1 and SOC 2 Type 2 reports and its ISO/IEC 27001 certification. We also implement firewalls and access restrictions on our servers to better protect your information, and work with third-party security researchers to ensure our practices are secure.

When will my credit card be charged?

You will not be charged until you purchase a subscription and your subscription period starts.

If you purchase a subscription while you still have time remaining on your free trial, we extend your next billing date so that you do not lose any of the trial.

Can you extend my free trial?

Sure. We understand that 14 days is sometimes not enough for an organisation to fully evaluate CheckFlow.

Does CheckFlow offer a non-profit or educational discount?

Can we cancel at any time?

Yes, you can cancel at any time. There is no minimum term on monthly billing: no questions asked, and no retention specialists trying to talk you out of it. Simple, straightforward and fair, just as it should be.

Yes, you can purchase annual CheckFlow licences. Please contact us for more information.

What happens if we run out of AI credits?

Each plan includes a monthly allowance of AI credits for Generate with AI, shared by the team: 250 per paid user on Business and 750 on Enterprise. If the team uses it up, an Administrator can buy a credit pack on the AI tab of Team Management: 2,500 credits for $10, 7,500 for $25 or 20,000 for $60, shown in your currency with tax added where it applies. Bought credits are used once the monthly allowance has run out and last 12 months. The MCP server, the REST API and the free AI template generator use no credits. See AI credits in the docs.

Are taxes included in your price?
