How it started
Built for the teams enterprise tools priced out
Most process management tools available in 2019 were built for large enterprise teams with complex requirements, and priced accordingly. We set out to build something better suited to the teams that needed it most: IT and HR departments at mid-size companies, managing recurring processes that were falling through the cracks of spreadsheets and shared documents.
CheckFlow turns those processes into structured, trackable checklists. Build a template once, with the tasks, owners, due date rules and conditional logic, then run it the same way every time the process happens. Tasks are assigned automatically, reminders go out on their own, and every completed run keeps a full record of who did what and when.
We wanted it to be simple to start with and deep enough for real work: enforced task order, dynamic due dates, recurring schedules, branded sharing and a live view of every running process. A team should be able to build its first working process in an afternoon, not after months of implementation.

CheckFlow is founded
A UK company sets out to make process management software that IT and HR teams at mid-size companies would actually use.
2020
The foundations: templates and checklists
The core of CheckFlow takes shape: templates that define a process once, checklists that run from them, tasks assigned to people and groups, due dates, and comments on every task.
2021
Logic, order and an API
Conditional logic shows only the tasks that apply, halt tasks hold a process until a step is done, parameters fill in each run as it starts, and an API connects CheckFlow to other systems.
Conditional logic inside tasks
Rules can now show and hide individual fields within a task, not just whole tasks, so one template adapts to each run.
Single sign-on
SAML single sign-on arrives for every team on the Enterprise plan.
2022
Slack notifications
Each person can choose to receive their CheckFlow notifications in Slack.
Two ways to enforce the order
A halt can hold the tasks after it until it is done, or until it and every task before it are done.
The affiliate programme
Partners earn 40% of every payment from the customers they refer, for as long as those customers stay.
Tables that grow as you work
Table fields can add and remove rows inside a running checklist.

Schedules with parameters
Recurring checklists start with their parameter values already filled in.
The Reports Grid and saved views
Filter on any column, add a template’s tasks and fields as columns, and save the view.
Checklist activity
Every task and every checklist keeps its own activity feed of who did what, and when.

Dynamic assignments
A Members field picks people or groups during a run, and later tasks are assigned to them automatically.

Smarter dates and schedules
Due dates can follow a calendar position such as next Monday or the last day of the month, schedules gain new repeat modes, and dynamic values pre-fill fields.
The Library
Templates, knowledge base articles and files move into one Library, organised in folders with their own permissions.
Send email from a checklist
The Mail To field sends rich-text or HTML email straight from CheckFlow, by hand or when a task is completed.
Analytics, rebuilt
Filter by date range, template, user and tag, drill into the detail and export every table.
Data Sets
Reusable tables of clients, sites or products feed drop-downs and fields in every template.
The Tasks Grid
One grid for every task across every checklist, plus standalone tasks and tasks attached to a running checklist.
REST API v3 and the MCP server
Everything in the app becomes available as JSON, and AI assistants such as Claude and ChatGPT can run processes in CheckFlow through the MCP server, on every plan.

- Fair refunds. A full refund in your first 30 days if CheckFlow does not meet your needs, and a fair refund after that if you are ever unhappy. Our Fair Refund Policy means what it says.
- Hosted on Microsoft Azure. Azure’s data centres are covered by Microsoft’s SOC 1 and SOC 2 Type 2 reports and ISO/IEC 27001 certification. EU hosting is available on both plans.
- GDPR ready. A GDPR programme for the EU and UK GDPR, with a data processing agreement on request from privacy@checkflow.io.
