In short

Last updated

The CheckFlow AI inspection checklist generator turns a one or two sentence description of an inspection into an inspection checklist, free and without an account. It builds each check with a result, fields for readings and evidence, follow-up steps that appear only when a check fails and a sign-off. Start a free trial to assign it, run it on a schedule and keep every inspection on record.

From a sentence to an inspection nobody skips.

1. Describe the inspection

Say what you inspect, where and how often, and what happens when something fails, such as “taken out of service”. Up to 500 characters.

2. Watch it being built

The generator checks the template library first. If nothing fits, it builds the checklist step by step in a preview of the template designer, usually in 15 to 30 seconds.

3. Run it every time

Start a free trial and the checklist becomes a template in your workspace. Assign it, schedule it daily or weekly, and keep each inspection as a record.

The basics

What an inspection checklist is

An inspection checklist is a list of physical checks on a thing or a place: a vehicle, a machine, a building, a room, a delivery. Inspections are short and frequent, daily, weekly or before each use, and the result matters at once: if a check fails, something has to happen before work carries on.

Audits are wider and less frequent, and check that a whole way of working is followed. For those, use the AI audit checklist generator.

  1. 01

What is inspected, and by whom

The asset, room or vehicle, its location or reference, and the inspector, recorded when the inspection starts.

  2. 02

    Checks in walking order

Grouped the way the inspector moves round, so nothing is missed and nobody doubles back.

  3. 03

A clear result for each check

Pass or fail, a reading against a limit, or Not Applicable when a check does not apply this time.

  4. 04

    Evidence on failures

A photo, a note or a reading on the checks that fail, so the next person knows exactly what was wrong.

  5. 05

    What happens on a fail

Steps that appear only when a check fails: take it out of service, raise a repair, tell a manager.

  6. 06

    A sign-off

The inspector, or a supervisor, confirms the inspection is complete.

  7. 07

    A schedule

The inspection started again every day, week or month, already assigned.

A real example

What the generator built from one sentence

We gave the generator “Weekly fire extinguisher and emergency lighting inspection for an office building” on 12 October 2026. Nothing in the library was a close match, so it wrote one: Weekly fire and emergency lighting inspection. Its description says it is a visual check, not a substitute for scheduled functional testing and servicing.

It came back with 5 steps, 12 fields, 6 conditions and 1 halt. Inspecting the extinguishers is a list of sub-tasks to tick, such as pin and tamper seal intact, pressure gauge in the operating range and service label current, then a required result: All checked; no issues found, or Issue found or equipment missing. The emergency lighting step works the same way.

Each inspection step also has fields for the affected locations and defects and for photo evidence. A step to report defects and arrange corrective action is hidden by default, for a condition to show it when it applies, and halts the checklist until it is done. It set no due dates; a weekly inspection is better started by a schedule, which you set up in CheckFlow.

  • A sub-task for every point checked
  • A required result on each inspection step
  • Fields for defects and photos
  • A follow-up only when something fails
  • A halt until defects are reported

Draft and finish

What the generator drafts, and what you add

The free generator gives you a first draft from a description. The parts that depend on your equipment, your sites and your team are finished in CheckFlow.

Tips

How to describe an inspection for a better first draft

  1. 01

Say what, where and how often

“A weekly fire extinguisher and emergency lighting inspection for an office building” gives a closer draft than “safety inspection”.

  2. 02

Say what happens on a fail

“Taken out of service”, “raise a repair” or “tell the duty manager”: mention it and the draft adds the follow-up step.

  3. 03

    Say what to record

Photos of damage, a pressure reading, a mileage: mention it and the draft adds the field.

  4. 04

    Leave out personal details

Describe the inspection, not the people. The inspector is recorded when the checklist is completed.

Already have an inspection form on paper?

The free generator works from one description. Inside CheckFlow there are two more ways to build an inspection checklist with AI.

  • Import the form you already have

Generate with AI reads Word, PDF, Excel and CSV files, web pages and photos of paper checklists, and builds the template in the designer, assigning steps to your existing groups.

    AI in CheckFlow
  • Build it in conversation

Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can connect to the CheckFlow MCP server, talk the inspection through with you and build the template in your workspace.

    Read the MCP guide
  • Any other checklist

Not an inspection? The same generator builds checklist templates for any process.

AI inspection checklist generator questions

Is the AI inspection checklist generator free?

Yes. You can generate and preview inspection checklists without an account or a credit card. To keep it free for everyone there is a limit on how many templates can be generated in an hour, and a template found in our library does not count towards it. To edit it and run it with your team, start a free trial.

What is the difference between an inspection and an audit?

An inspection checks a thing or a place, often daily or weekly, and a failed check needs action straight away. An audit checks that a way of working is followed, usually monthly or less often, and its findings lead to corrective actions. For audits, use the AI audit checklist generator.

Can inspectors attach photos?

Yes. A File Upload field takes photos and documents on the steps that need them. Mention photos in your description and the draft adds the field where it fits, or add it yourself in the template designer.

Can inspections run on a schedule?

Yes, in CheckFlow. A schedule starts the inspection from its template daily, weekly, monthly or yearly, already assigned and with its due dates set, so nobody has to remember to start it. See recurring checklists.

Can it turn our paper inspection form into a checklist?

Yes, inside CheckFlow. Generate with AI reads PDF, Word, Excel, CSV and HTML files, JSON exports from other tools, and photos or scans of paper checklists, and builds a template from the form. This page works from a written description only.

Why did I get a template from your library instead?

Before generating anything, the generator compares your description with the ready-made templates in our template library. When one is a close match you see it straight away, written by our team rather than by AI. If it is not what you wanted, choose Generate a New One with AI Instead.

What happens to what I type?

Your description is compared with our template library and, if nothing fits, sent to an AI model. Both run on Microsoft Azure for CheckFlow, and your description is not used to train AI models. The description and the template are kept for up to 30 days, so the same request gets the same answer and the template is still there when you sign up. Please leave personal details out. See our privacy policy.

How much does CheckFlow cost after the trial?

The free trial lasts 14 days with no credit card. After that, the Business plan is $10 per user per month, or $9 billed annually, and it includes AI credits for building more templates with Generate with AI. Full pricing at checkflow.io/pricing.
