In short

Last updated

Audit management software plans audits, records how each one was carried out and tracks findings until they are closed. In CheckFlow the audit programme runs on schedules, each audit is a checklist with its criteria, results and evidence, and a nonconformity can start its own corrective action. The Reports Grid shows every audit and open action. It suits quality, compliance, safety and internal audit teams.

From the audit plan to the closed finding, in one place.

Audits start on time

Each audit in the programme starts on its date, assigned to its auditor, from the right checklist.

Evidence sits with the answer

Results, notes, photos and files are recorded on the step they prove, with who and when.

Findings get closed

Corrective actions attached to the audit keep it open until each one is done.

Audit programme

Plan the audit programme and let it start each audit

An audit programme lists the audits you will carry out and when: the purchasing process every six months, each site’s safety audit every quarter, the IT security audit once a year. In CheckFlow each line of the programme is a schedule. On the date it starts a checklist from the audit template, names it after the process and the date, and assigns it to the auditor with its due dates set.

Schedules repeat daily, weekly, monthly or yearly, or on fixed points such as the last weekday of the quarter, each in its own time zone. Audits that do not follow a calendar, such as a supplier audit after a complaint, start by hand, from a run link or through the API, from the same template.

  • Each audit arrives assigned, with reminders before it is due
  • Template changes apply to the next audit, never to one in progress
  • Pause a schedule while a process is out of scope

Fieldwork

Run each audit as a checklist, with the evidence on the step

The audit template holds the criteria as tasks, grouped into phases such as preparation, fieldwork, findings and report. Each criterion asks for a result from a drop-down, such as Conforms, Minor nonconformity, Major nonconformity or Observation, and a required answer means no criterion is skipped. File Upload takes the photos, samples and documents that prove it, and a Table can hold a sampling log row by row.

Conditional logic shows the finding fields only when a criterion does not conform: what was found, the requirement it breaks and the evidence. Steps that do not apply to this site or process are marked not applicable, and the record shows that too.

  • Auditors work on a phone or tablet in the browser, and File Upload takes a photo with the camera
  • External auditors join as free Guests and see only their own tasks
  • Print a finished audit or save it as a PDF from the browser

Findings and corrective actions

Follow every finding to a checked close

Raise each corrective action as a task attached to the audit, with an owner, a due date and the finding in its description. An attached task counts as one of the audit’s tasks, so the audit cannot be completed while an action is open, and its owner is reminded as the date nears and again when it is overdue.

For a larger fix, a Linked Checklist field starts a corrective action checklist from the audit, with the finding, the process and the auditor copied into it. That checklist runs its own steps, such as containment, root cause, the fix and a check that it worked, and the two link to each other. Make the last step of the audit a verification that only the auditor can complete, so the person who fixed the problem does not sign it off.

  • Overdue alerts go to every assignee of a late action
  • Halt the audit report until the verification step is done
  • Comment and @mention the action owner on the finding itself

Tracking

See every audit and open action at a glance

The Reports Grid lists every audit as a row: its template, auditor, dates, status, overdue tasks and next task. Pick one audit template and add a column for any criterion’s result, then filter to the audits with a major nonconformity, or save a view of everything overdue for the quality manager. The grid updates as auditors work, and exports to CSV, Excel or PDF for a management review.

Analytics shows how the programme is going over time: audits started and completed, how long they took, and which steps run late most often. Each audit template’s Analytics tab, in the Library, shows its current audits at a glance.

  • A built-in Overdue view of every late audit
  • Drop-down, date and members answers as columns
  • Tag audits by site, standard or process and report on each

Audits in spreadsheets, or audits in CheckFlow

Many audit programmes live in a spreadsheet, with the checklists in documents and the evidence in a shared folder.

Choosing

What to look for in audit management software

  1. 01

    Scheduling for the audit programme

Audits should start on the dates the programme sets, assigned to an auditor, so none is missed between certification visits.

  2. 02

    Audit checklists you can change

Standards and processes change. You should be able to edit the audit checklist yourself, while audits already in progress keep the version they started with.

  3. 03

    Evidence on every answer

Results, notes, photos and documents should be captured at the step they belong to, with who recorded them and when.

  4. 04

    Findings that lead to action

A nonconformity needs an owner, a due date and a check that the fix worked, all linked back to the audit.

  5. 05

    One view across every audit

Managers should see which audits are due, in progress or overdue, and which actions are open, without asking anyone.

  6. 06

Access for auditees and outside auditors

People outside the audit team should be able to complete their part without seeing everything else.

CheckFlow runs and tracks the audit work people do. It is not working-paper software for auditing financial statements, and it does not collect evidence from your cloud services automatically. If you use those tools, CheckFlow can sit beside them for the steps people carry out, as on our compliance checklist software and SOC 2 compliance software pages.

An assistant acts as the person whose key it uses, so it cannot complete a verification step only the auditor can complete. The API refuses it.

Audit management software questions

What is audit management software?

Audit management software helps a team plan its audits, carry them out the same way each time and follow up what they find. It schedules the audit programme, gives each audit a checklist of criteria, records results and evidence, tracks findings and corrective actions to a close, and reports on every audit in one place.

What is the difference between audit management software and audit checklist software?

Audit checklist software turns one audit into a checklist an auditor works through and records results in. Audit management software covers the cycle around it: planning the programme, assigning auditors, tracking findings and corrective actions, and reporting across audits. CheckFlow does both: each audit is a checklist, and schedules, attached tasks and the Reports Grid manage the rest.

Can CheckFlow schedule recurring audits?

Yes. Each audit in the programme can be a schedule that starts a checklist from the audit template daily, weekly, monthly, yearly or on fixed points such as the last weekday of the quarter. Each audit arrives named, assigned and with its due dates set. One-off audits start by hand, from a run link or through the API. See recurring checklists.

How are findings and corrective actions tracked?

Record each finding in fields on the step it came from, with its evidence. Raise each corrective action as a task attached to the audit, with an owner and a due date, so the audit cannot be completed while one is open. For a larger fix, a Linked Checklist field starts a corrective action checklist with the finding copied into it.

Can external auditors and auditees take part?

Yes. Invite them as Guests: they see and complete only the tasks assigned to them, and everything they do is logged under their own name. Guests are free and unlimited on every plan, so a certification body, a supplier or a site manager can complete their part without a paid seat.

Can I use my own audit checklists?

Yes. Build them in the template designer, start from an audit template, or describe the audit to the AI audit checklist generator. If your audits are in Word or Excel, we will convert up to three of them for you, free.

Is CheckFlow a GRC platform or audit working-paper software?

No. CheckFlow runs and tracks the audit work people carry out: the checklist, the evidence, the findings and the follow-up. It does not collect evidence from your cloud services automatically, and it is not built for auditing financial statements. Teams that use those tools can run the human steps in CheckFlow beside them.

How much does CheckFlow cost?

The Business plan is $10 per user per month, or $9 billed annually, with schedules, conditional logic, attached tasks, Linked Checklist fields and the Reports Grid included. Guests are free. Try it free with no credit card; see pricing.
