CheckFlow can convert the checklists you already have into templates. In your free trial, Generate with AI imports Word, Excel, CSV, PDF and web pages, exports from other tools, and photos or scans of paper checklists, keeping your steps in your order. If a checklist needs a person, any customer can email us up to three and we convert them by hand, free.
From your file to a running checklist.
1. Upload what you have
Up to three files at a time, 8 MB each: a Word SOP, a spreadsheet, a PDF, an export from another tool or a photo of a paper checklist.
2. Watch it being built
The template appears section by section in the template designer, usually in 15 to 30 seconds. Your steps stay as written unless you ask the AI to improve them.
3. Check it, then run it
Compare it with your original, change anything you like, then run it as a checklist once, on demand or on a schedule.
Do it yourself
Upload your checklist in your free trial
In CheckFlow, create a template, choose Generate with AI and drop your files onto Import from documents. Generate with AI reads them and builds the template in front of you, in the template designer.
By default it imports the process as written: your steps, in your order, in your language. Tick Improve it as well if you want it to fill gaps and add good practice. To take one procedure from a long manual, add a short instruction such as “Only the annual leave process”.
It uses the AI credits that come with every plan. A free trial includes 150, and a document import typically uses 20 to 40.
- Word, Excel, CSV and PDF
- Web pages, text and Markdown
- JSON exports from Trello, Asana or Jira
- Photos and scans of paper checklists
What you get
More than a list of tick boxes
The import uses the same building blocks you would use by hand, so the template works like any other CheckFlow template.
Sections and steps
Your headings become sections and each step a task, with its instructions written into the task.
Fields to record
Blanks to fill in and boxes to tick become fields, and a list of small steps under one step becomes sub-tasks.
Steps for certain answers
A rule such as “if damaged, raise a repair request” becomes a step that only appears when the answer calls for it.
Assigned to your groups
Where your document says a step is done by IT and your workspace has an IT group, the step is assigned to it. Never to named people.
Due dates from your timings
Timings such as “within five working days” become due dates worked out from when the checklist starts or an earlier step is done.
Sign-offs that hold the line
An approval can halt the checklist so nothing after it can be done until it is complete.
Notifications, Data Sets and linked checklists are not imported. Add them in the designer afterwards.
We do it for you
Send us up to three checklists
Some checklists are hard to import: a long manual that mixes several processes, a faded scan, a spreadsheet with its own logic. Any CheckFlow customer, on a free trial or a paid plan, can send us up to three and we will convert them by hand, free.
- 01
Start your free trial
We build your templates in your own workspace, so you need one first. If you already have CheckFlow, use your existing workspace.
- 02
Email us your checklists
Send up to three files to support@checkflow.io from the address you use for CheckFlow, and tell us what each one is for and who does what.
- 03
We build and check them
We import each one, check it against your original, fix what the AI missed and add it to your workspace, signing in as CheckFlow support. Emailing us is your permission to do that. Then we email you to say it is ready.
Formats
What you can upload
Google Docs and Google Sheets work too: download them as Word, Excel or PDF first (File › Download).

|---|---|---|
| Word document | .docx | CheckFlow |
| Excel spreadsheet | .xlsx | CheckFlow |
| CSV or tab-separated export | .csv, .tsv | CheckFlow |
| PDF with text | .pdf, up to 100 pages | CheckFlow |
| Web page, such as a wiki export | .html, .htm | CheckFlow |
| Text or Markdown | .txt, .md | CheckFlow |
| JSON export from another tool | .json, .jsonl, .ndjson | CheckFlow |
| Scanned PDF, photo or screenshot | .pdf, .png, .jpg, .heic, .tiff, .bmp | Azure AI Document Intelligence, up to 20 pages an import |
Not accepted: PowerPoint (save the slides as a PDF), the older .doc and .xls formats (save as .docx or .xlsx), password-protected files, and GIF, WebP or AVIF images (save as PNG or JPG). Scans and photos can be read where Document Intelligence is available for your workspace’s region.
Privacy
What happens to your files
Read, then discarded
When you import a document, its text is read on CheckFlow’s own servers and the file is discarded, never stored. What is kept is the template it builds.
In your region, never for training
The AI runs on CheckFlow’s own Microsoft Azure resource in your workspace’s region. Microsoft does not use your documents or results to train AI models.
Files you email us
We use them only to build your templates, and delete the email and its attachments once the templates are in your workspace.
Leave out personal details a checklist does not need, such as names and phone numbers. See our privacy policy, subprocessors and security page.
Prefer to talk it through?
Generate with AI turns a document into a template in one go. If you want to shape it as you go, connect the AI assistant you already use.
Convert it in conversation
Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant connected to the CheckFlow MCP server can read the document you share, look up your groups and build the template in your workspace, including the notifications and Data Sets an import leaves out.

Here is our forklift pre-use check as a PDF. Turn it into a CheckFlow template and assign the repair step to Maintenance.
read: "members, groups, tags, templates"
Your workspace has a Maintenance group. I will make each inspection item a pass or fail field, add a repair step that only appears when an item fails and assign it to Maintenance, then validate the draft and show you before publishing.

Frequently asked questions
Is converting my checklists really free?
Yes. Importing a checklist yourself uses the AI credits included with every plan: a free trial has 150, and a document import typically uses 20 to 40, plus 25 for each scanned page or photo. If you would rather we did it, we convert up to three checklists for each customer by hand at no cost, and the work does not use your AI credits.
Will it keep my checklist as it is written?
Yes, unless you ask for more. By default the import keeps your steps in your order and in your language. If some steps are missing from the result, it tries again, and if steps are still missing it warns you with roughly what share of them it found. AI makes mistakes, so compare the template with your original before anyone runs it.
Can it convert a photo of a paper checklist?
Yes. Photos and scanned PDFs are read with Azure AI Document Intelligence, up to 20 pages an import, where it is available for your workspace’s region. Blanks to fill in and boxes to tick become fields. A clear, straight photo gives the best result; if yours is faded or handwritten, send it to us instead.
Can I move checklists from another tool?
Usually, yes. Export the project or board as CSV or JSON, as Trello, Asana and Jira allow, and import that file. Lists, sections or stages become sections and each card or task a step. Columns about one particular run, such as status, completion dates, assignee names and comments, are left out, because a template describes the process, not one run of it.
What if my document holds several processes?
One import builds one template from up to 60,000 characters of text. For a long manual, add an instruction such as “Only the annual leave process” and import it once for each process you need. If it is too long or too tangled, email it to us and say which processes matter most.
Who can ask you to convert checklists?
Any CheckFlow customer, on a free trial or a paid plan, can email them to support@checkflow.io for us to convert, up to three in all. Send them from the address you use for CheckFlow so we know which workspace to add them to. We sign in to it as CheckFlow support to add the templates, and sending them is your permission to do that. We work through requests in the order they arrive and email you when your templates are ready.
What happens to the files I upload or send?
A file you import in CheckFlow is read and then discarded, never stored. Its text goes only to CheckFlow’s own Azure AI resource in your workspace’s region, and is not used to train AI models. Files you email us are used only to build your templates, and we delete the email and attachments once the templates are in your workspace. See our privacy policy.
How much does CheckFlow cost?
CheckFlow’s Business plan is $10 per user per month, or $9 billed annually, with conditional logic, dynamic due dates, auto-assignments, recurring checklists and AI credits included. Free trial, no credit card required. Full pricing at checkflow.io/pricing.
