In short

Last updated

The CheckFlow for Slack app sends CheckFlow’s notifications to people in Slack: a task assigned to them, a task of theirs overdue, an @mention, a new comment on their task, and the custom notification rules in your templates. An Administrator adds the app once. Each person then chooses Slack, email, both or neither for each type. It is for teams who live in Slack and miss email.

The nudge arrives where people already are.

Fewer missed assignments

A new task, or one about to run late, lands in Slack rather than at the bottom of an inbox.

Each person chooses

Slack for the urgent things, email for the rest, or both. Everyone sets it for themselves, notification by notification.

Your own rules too

Reminders before a due date, alerts when an approval is done and notices when a checklist finishes reach Slack as well.

Setup

Set up Slack notifications in three steps

  1. 01

    Add the app to Slack

An Administrator opens the API & Integrations tab of Team Management and clicks Add to Slack under Slack. Slack shows the permissions the app needs, which are only those for sending messages. Click Allow, and the status changes to Installed.

  2. 02

    Check email addresses match

CheckFlow finds each person in Slack by email address. Anyone whose CheckFlow email is not in your Slack workspace keeps getting email only.

  3. 03

    Choose what goes to Slack

Each person opens Communication Preferences on their profile and switches Slack and email on or off for each notification type. Administrators can set preferences for anyone from the Members tab.

The app is added once for the whole Slack workspace. Removing it, from the same tab, stops CheckFlow posting to Slack but keeps everyone’s Slack settings in case you add it again.

What reaches Slack

Four built-in notifications, plus your own rules

Four notifications are built in. Someone hears when a task is assigned to them, when a task they are assigned to becomes overdue, when they are @mentioned in a comment and when someone comments on a task they are assigned to. Overdue alerts go to all of a task’s assignees, or to Administrators when nobody is assigned, and can be turned off.

Custom notification rules come from your templates. A rule has an anchor (the checklist, or chosen tasks), a trigger (completed, uncompleted, not applicable, a status change, due in a set time or overdue by a set time) and the people or groups to tell. Each person receives it in Slack, by email or both, by their own preference.

  • Rules are set once in the template and every checklist inherits them
  • Due in and overdue by take months, days, hours and minutes
  • A rule can also email any address, such as a shared inbox

Use cases

Four ways teams use it

Each pairs a notification with a template from the library.

  • Close the month on time

A due-in rule reminds the preparer in Slack a day before the bank reconciliation is due, and an overdue rule tells the Finance group if it slips.

    Month-end close template
  • Approvals that don’t wait in an inbox

The approver hears in Slack the moment the approval step is assigned to them, and again if it runs overdue.

    Invoice approval template
  • A smooth first day

IT, HR and the hiring manager each get their own onboarding steps in Slack, and HR hears when the whole checklist is complete.

  • Questions answered quickly

@mention the account manager on a client onboarding task and they see the question in Slack, not tomorrow morning.

Good to know

What the Slack app doesn’t do

  1. 01

    Checklists stay in CheckFlow

The app sends notifications. Tasks are completed, fields filled in and approvals given in CheckFlow, on the web or on a phone.

  2. 02

    It notifies people, not channels

Each notification goes to the person it is for. To post to a shared channel, for example when an approval is done, use the Zapier app, which has a ready-made Zap for it.

  3. 03

    It needs a matching email

CheckFlow matches people by email address. Someone who uses a different address in Slack gets email instead.

  4. 04

    Outside addresses get email

A custom rule can notify any email address, such as a client or a shared inbox. Those always go by email, never to Slack.

The Slack app is included in the Business plan at $10 per user per month, or $9 billed annually, and in the free trial.

AI

Or just ask what needs doing.

Notifications tell you when something changes. An AI assistant connected through the MCP server can answer when you want the whole picture.

  • Your Tasks Grid, in plain language

Claude, ChatGPT, Gemini, Grok, Copilot or any other AI assistant can read your Tasks Grid and tell you what is overdue, due today or waiting on you.

  • A template with reminders built in

Describe the process and the free AI checklist generator drafts the template, with due dates you can hang rules on.

What’s overdue for me?

checkflow · list_my_workdone
status: "Overdue"

→ 3 tasks · oldest due Monday

Three of your tasks are overdue: two reconciliations on Month-End Close for September, and the approval on Invoice Review INV-2041. The oldest was due on Monday.

Slack questions

Does CheckFlow integrate with Slack?

Yes. The CheckFlow for Slack app sends CheckFlow’s notifications to people in Slack: tasks assigned to them, their overdue tasks, @mentions, new comments on their tasks and your templates’ custom notification rules. An Administrator adds it once from the API & Integrations tab.

Can I complete a checklist inside Slack?

No. The Slack app sends notifications. Tasks are completed, fields filled in and approvals given in CheckFlow, which works in any browser and on phones. The notification tells the person what needs doing.

Can CheckFlow post to a Slack channel?

Not with the Slack app, which notifies each person directly. To post to a channel, for example when a task is completed, use the Zapier app: its Task Completed trigger and Slack’s channel message action do it, and Zapier has a ready-made Zap.

How does CheckFlow know who someone is in Slack?

By email address. If a person’s CheckFlow email exists in your Slack workspace, their Slack notifications go there. If it doesn’t, they get email only, whatever their preferences say.

Can I choose which notifications go to Slack?

Yes. Each person chooses Slack, email, both or neither for each notification type in Communication Preferences on their profile. Administrators can change anyone’s preferences from the Members tab of Team Management.

What permissions does the Slack app need?

Only the basic permissions needed to send messages to your Slack workspace, which Slack shows you before you click Allow. CheckFlow does nothing else with the information in your Slack account.

Which plans include the Slack integration?

The Slack app is included in the Business plan at $10 per user per month, or $9 billed annually, and in the free trial. See pricing.
