What is a checklist template?

Also called: process template, master checklist

Definition

Last updated

A checklist template is the master version of a checklist: the tasks, instructions and fields written down once, ready to be copied every time the work is done. Each copy, often called a checklist or a run, is filled in for one occasion, while the template stays unchanged for the next.

In more detail

Separating the template from each run is what makes a checklist repeatable. Improvements go into the template once, and every checklist started after that uses the new version. Each run keeps its own answers, so you can see how every occasion went without the template filling up with old ticks.

A good template holds more than the list of tasks: the instructions for each one, the fields to record, who usually does each task and when it is due, all set up once so that starting a new run takes seconds.

Example

An employee onboarding template lists everything that happens for a new starter. When two people join in the same week, HR starts two checklists from it, one for each person, and each one is completed and recorded separately.
