# CheckFlow > CheckFlow is process management and checklist software for teams. You build a process once as a template (tasks, fields, assignments, due dates, conditional logic and approvals), then run it as checklists that assign the work, enforce the order and keep an audit trail. It is used mainly by IT, HR, MSP and compliance teams for onboarding, offboarding, audits and recurring operational processes. CheckFlow Ltd is a UK company, founded in 2019; the service is hosted on Microsoft Azure. Plain-text versions for assistants: [pricing.md](https://checkflow.io/pricing.md) has every plan, price and plan feature, [features.md](https://checkflow.io/features.md) describes each feature page, and [llms-full.txt](https://checkflow.io/llms-full.txt) adds every template. [Process and Checklist Glossary: Plain Definitions](https://checkflow.io/glossary): Plain definitions of the process and checklist terms teams use: runbook, SOP, checklist template, approval workflow, audit trail, CAPA and more. - [5S](https://checkflow.io/glossary/5s): 5S is a lean method for organising a workplace so it is clean, safe and efficient. Its five steps, from Japanese words, are usually translated as sort, set in order, shine, standardise and sustain. Teams apply them area by area and check them with regular 5S audits so the improvements last. - [Account reconciliation](https://checkflow.io/glossary/account-reconciliation): Account reconciliation is comparing the balance of an account in the accounting records with an independent source, such as a bank statement, a supplier statement or a sub-ledger, and explaining every difference. It confirms the books are complete and correct before financial statements are produced, and is usually reviewed and signed off. - [Approval workflow](https://checkflow.io/glossary/approval-workflow): An approval workflow is a process in which work must be reviewed and approved by a named person or group before it can move on. It sets out who approves, in what order, what they check and what happens if they reject it, and keeps a record of each decision and when it was made. - [Audit evidence](https://checkflow.io/glossary/audit-evidence): Audit evidence is the information an auditor relies on to conclude whether a control or process worked as described: records, documents, screenshots, logs, sign-offs and the answers given in interviews. Good evidence is relevant, dated, complete and traceable to the person and moment it came from, and is collected as the work happens. - [Audit trail](https://checkflow.io/glossary/audit-trail): An audit trail is a time-ordered record of who did what, and when, in a process or system. In a checklist it shows who completed each task, what they entered and when, so that anyone reviewing the work later, such as an auditor or a manager, can see it was done properly. - [Business continuity plan](https://checkflow.io/glossary/business-continuity-plan): A business continuity plan, or BCP, sets out how an organisation keeps its most important work going during and after a disruption, such as losing a building, a key system or a supplier. It names the critical activities, the people responsible, the workarounds to use and the order in which things are restored. - [CAPA](https://checkflow.io/glossary/capa): CAPA, short for corrective and preventive action, is a quality management process for dealing with problems. Corrective action finds the root cause of a problem that has happened and fixes it. Preventive action deals with the cause of a problem that could happen. Each action is recorded, assigned and checked for effectiveness. - [Checklist](https://checkflow.io/glossary/checklist): A checklist is a list of items to check or tasks to complete, used so that nothing important is missed. Teams use checklists for work that repeats and has a cost when a step is skipped, such as opening a shop, onboarding a new starter or releasing software. A completed checklist also shows the work was done. - [Checklist management](https://checkflow.io/glossary/checklist-management): Checklist management is the practice of creating, sharing, running and improving the checklists a team depends on. It covers keeping one current version of each checklist, giving each task an owner and a due date, seeing which checklists are in progress or overdue, and keeping a record of each completed one. - [Checklist template](https://checkflow.io/glossary/checklist-template): A checklist template is the master version of a checklist: the tasks, instructions and fields written down once, ready to be copied every time the work is done. Each copy, often called a checklist or a run, is filled in for one occasion, while the template stays unchanged for the next. - [Client onboarding](https://checkflow.io/glossary/client-onboarding): Client onboarding is the process of bringing a new client from a signed agreement to a working relationship. It covers collecting their information and documents, setting up accounts and access, agreeing goals and contacts, and the first meetings, so that the client sees progress quickly and nothing they were promised is forgotten. - [Compliance calendar](https://checkflow.io/glossary/compliance-calendar): A compliance calendar is a schedule of every recurring obligation an organisation must meet, such as regulatory filings, licence renewals, policy reviews, audits, training and certificate expiries. Each entry has a due date, an owner and the steps to complete it, so that deadlines are met and there is a record that they were. - [Conditional logic](https://checkflow.io/glossary/conditional-logic): Conditional logic, in a checklist or form, shows or hides steps and questions depending on earlier answers. For example, choosing “Contractor” can hide the payroll steps and show the contract steps instead. It lets one checklist cover several variations of a process without anyone having to skip steps that do not apply. - [Deprovisioning](https://checkflow.io/glossary/deprovisioning): Deprovisioning is removing a person’s access to systems, applications, data and devices when they leave an organisation or no longer need it. It includes disabling accounts, revoking licences and keys, transferring files they own and recovering equipment, and it should happen promptly and be recorded so that nothing is left open. - [Due diligence](https://checkflow.io/glossary/due-diligence): Due diligence is the investigation carried out before a decision such as an acquisition, an investment, a contract or a new supplier, to confirm the facts and find the risks. It usually means requesting and reviewing documents, asking questions, checking claims against evidence and recording what was found before anyone commits. - [Employee onboarding](https://checkflow.io/glossary/employee-onboarding): Employee onboarding is the process of welcoming a new starter and helping them become a productive, settled member of the team. It runs from the accepted offer through the first months, covering paperwork, equipment and access, introductions, training and regular check-ins, and it is shared between HR, IT, the manager and the new starter. - [Escalation process](https://checkflow.io/glossary/escalation-process): An escalation process sets out when and how an issue is passed to someone with more expertise or authority, for example when it is not resolved in time, when it is more serious than first thought, or when a customer asks. It names the levels, the triggers for moving up and who must be told. - [Exit interview](https://checkflow.io/glossary/exit-interview): An exit interview is a conversation or survey with an employee who is leaving, to understand why they are going and what the organisation could do better. It usually covers the reasons for leaving, the role, management, development and pay, and its answers are most useful when they are recorded consistently and reviewed for patterns. - [Four-eyes principle](https://checkflow.io/glossary/four-eyes-principle): The four-eyes principle means that an important action must be checked and approved by a second person before it takes effect, so two people, or four eyes, have looked at it. It is used for payments, changes to bank details, journal entries, access requests and production changes, to catch mistakes and make fraud harder. - [Gemba walk](https://checkflow.io/glossary/gemba-walk): A gemba walk is a lean practice in which managers go to the place where the work is done, the gemba, to watch the process, ask the people doing it questions and look for waste and problems. It is about understanding the process and supporting the team, not inspecting or criticising individuals. - [Handover](https://checkflow.io/glossary/handover): A handover is the point where responsibility for work passes from one person or team to another, such as at the end of a shift, when a deal moves from sales to delivery, or when someone goes on leave. A good handover passes on what is in progress, what is outstanding, any risks, and who to ask. - [Incident management](https://checkflow.io/glossary/incident-management): Incident management is the process of responding to an unplanned interruption or loss of quality in a service, so that normal service is restored as quickly as possible and the impact is kept small. It covers detecting and logging the incident, assessing its priority, resolving or escalating it, communicating with users and closing it. - [Internal audit](https://checkflow.io/glossary/internal-audit): An internal audit is a planned, independent check, carried out by or for the organisation itself, of whether its processes, controls and records work as intended and meet the rules that apply. The auditor gathers evidence, records findings and agrees corrective actions with the people responsible, then follows them up. - [Internal controls](https://checkflow.io/glossary/internal-controls): Internal controls are the policies, checks and procedures an organisation builds into its processes to protect its assets, keep its records accurate, follow the law and prevent or detect errors and fraud. Examples include approvals, segregation of duties, reconciliations, access restrictions and reviews, and each one is tested regularly to confirm it works. - [IT change management](https://checkflow.io/glossary/it-change-management): IT change management is the process for making changes to systems and services safely. Each change is requested, assessed for risk and impact, approved by the right people, scheduled, carried out with a plan to reverse it, and reviewed afterwards, so changes cause as few incidents as possible and there is a record of each one. - [Kaizen](https://checkflow.io/glossary/kaizen): Kaizen is a Japanese word for improvement, used in lean management for the practice of making small, continuous improvements to how work is done, led by the people who do it. A kaizen event is a short, focused workshop, often a few days, in which a team studies one process and changes it. - [Management of change](https://checkflow.io/glossary/management-of-change): Management of change, or MOC, is a process for reviewing changes to equipment, materials, procedures, staffing or organisation for their safety and quality risks before they are made. Each change is described, assessed, approved by the right people, carried out with the documents and training updated, and checked before it goes live. - [Month-end close](https://checkflow.io/glossary/month-end-close): The month-end close is the set of accounting tasks a finance team completes after each month ends to finalise its books: recording outstanding transactions, posting accruals and adjustments, reconciling accounts, reviewing the results and producing the management accounts. It is usually measured in working days, and a faster, accurate close is a common finance goal. - [Nonconformance](https://checkflow.io/glossary/nonconformance): A nonconformance, also called a nonconformity, is anything that fails to meet a requirement: a product outside its specification, a process step not followed, or a record missing or wrong. It is usually logged in a nonconformance report, contained, assessed for its cause and, where needed, passed to a corrective action process. - [Offboarding](https://checkflow.io/glossary/offboarding): Offboarding is the process for an employee leaving an organisation. It covers the resignation or termination paperwork, handing over their work, removing their access to systems and premises, recovering equipment, final pay and benefits, and an exit interview, so the person leaves well and the organisation keeps its knowledge and stays secure. - [Playbook](https://checkflow.io/glossary/playbook): A playbook sets out how a team responds to a type of situation, such as a security incident, a major customer complaint or a new market launch. It describes the goals, roles, decision points and communication, and points to the detailed procedures, such as runbooks and SOPs, that people follow for each part. - [Postmortem](https://checkflow.io/glossary/postmortem): An incident postmortem, or post-incident review, is a structured review held after an incident to understand what happened, why it happened and how it was handled, and to agree actions that make a repeat less likely. It produces a written timeline, the causes, what went well and badly, and owned actions with dates. - [Preboarding](https://checkflow.io/glossary/preboarding): Preboarding is the stage of onboarding between a candidate accepting a job offer and their first day. It covers the paperwork, equipment, accounts and welcome messages that should be ready before the person starts, so the first day is spent meeting people and learning the job rather than waiting for access. - [Preventive maintenance](https://checkflow.io/glossary/preventive-maintenance): Preventive maintenance is servicing equipment, buildings and systems on a regular schedule, before anything fails, to keep them safe and working and to make them last longer. It covers inspections, cleaning, lubrication, adjustments, part replacements and software updates, planned by time or by use, such as every month or every 500 hours. - [Probation review](https://checkflow.io/glossary/probation-review): A probation review is the meeting at the end of a new employee’s probation period, often three to six months, where the manager decides whether they have met the standards of the role. The outcome is usually to confirm the employment, extend the probation with clear goals, or end it, and is confirmed in writing. - [Problem management](https://checkflow.io/glossary/problem-management): Problem management is the IT service management process that finds the underlying causes of incidents and removes them, or reduces their impact, so the incidents stop happening. It records each problem, investigates its root cause, documents known errors and their workarounds, and tracks the permanent fix through to closure. - [Process documentation](https://checkflow.io/glossary/process-documentation): Process documentation is the written record of how a process is carried out: its purpose, the steps in order, who does each one, the inputs and outputs, and the rules and exceptions. It can take the form of SOPs, checklists, flowcharts or work instructions, and it is only useful if it is kept up to date. - [Process owner](https://checkflow.io/glossary/process-owner): A process owner is the person accountable for a process from start to finish: that it is documented, that it works, that people follow it and that it improves. They do not do every step themselves, but they decide how the process should run, approve changes to it and watch how well it performs. - [Quality control](https://checkflow.io/glossary/quality-control): Quality control, or QC, is checking products, services or outputs against a defined standard to find and deal with defects before they reach the customer. It covers inspections, measurements and tests at set points in a process, records the results, and decides what happens to anything that fails, such as rework, rejection or a concession. - [RACI matrix](https://checkflow.io/glossary/raci-matrix): A RACI matrix is a table that shows, for each task or decision in a process, who is Responsible for doing it, who is Accountable for it, who must be Consulted and who must be Informed. It makes roles clear before the work starts, so tasks are not dropped or done twice. - [Recurring checklist](https://checkflow.io/glossary/recurring-checklist): A recurring checklist is a checklist that is started again on a regular schedule, such as daily, weekly, monthly or each quarter. Opening and closing checks, equipment inspections, month-end close and compliance reviews are common examples. Each occurrence is a fresh copy, so every one has its own record of who did what and when. - [Risk assessment](https://checkflow.io/glossary/risk-assessment): A risk assessment is a structured look at what could go wrong in an activity, a system or an organisation, how likely each risk is and how serious it would be, and what will be done to reduce it. The findings are recorded with owners and actions and reviewed regularly, or when something changes. - [Root cause analysis](https://checkflow.io/glossary/root-cause-analysis): Root cause analysis, or RCA, is a structured way of finding the underlying cause of a problem, rather than its symptoms, so that fixing it stops the problem coming back. It gathers the facts, works back from what happened to why, and checks the cause against the evidence before any action is chosen. - [Runbook](https://checkflow.io/glossary/runbook): A runbook is a set of step-by-step instructions for carrying out one operational task, such as restoring a backup, failing over a database or responding to an alert. It is written so whoever is on duty can do the task the same way every time, and includes the checks to make and what to do if one fails. - [Segregation of duties](https://checkflow.io/glossary/segregation-of-duties): Segregation of duties is an internal control that divides the steps of a sensitive task between different people, so that no one person can carry out and conceal an error or fraud. Typically the person who requests, the person who approves, the person who records and the person who holds the asset are kept separate. - [Service level agreement (SLA)](https://checkflow.io/glossary/service-level-agreement): A service level agreement, or SLA, is a commitment between a service provider and its customer, external or internal, that sets out the service to be delivered and the measurable standards it must meet, such as availability, response and resolution times. It also says how performance is reported and what happens when targets are missed. - [Sign-off](https://checkflow.io/glossary/sign-off): A sign-off is a named person’s formal confirmation that a piece of work is complete, correct or acceptable, and that the process can move on. It is how a manager approves a document, a client accepts a delivery or an engineer confirms a check, and it is recorded with who signed and when. - [Standard operating procedure (SOP)](https://checkflow.io/glossary/standard-operating-procedure): A standard operating procedure, or SOP, is a written set of steps for a routine task, so the task is done the same way whoever does it. A good SOP says what the procedure is for, lists the steps in order, puts the detail where it is needed and says who owns it. - [Task dependency](https://checkflow.io/glossary/task-dependency): A task dependency is a relationship between two tasks in which one cannot start, or cannot finish, until the other has. Dependencies set the order of work in a process, show which tasks can run at the same time, and determine how a delay in one task moves the dates of the tasks that follow it. - [User access review](https://checkflow.io/glossary/user-access-review): A user access review is a regular check that each person’s access to systems and data is still needed and appropriate for their role. Managers or system owners confirm or remove each account and permission, removals are carried out, and the review is recorded as evidence for security and compliance audits. - [Vendor onboarding](https://checkflow.io/glossary/vendor-onboarding): Vendor onboarding is the process of bringing a new supplier into an organisation, from selection to the point where they can be ordered from and paid. It covers collecting their details and documents, due diligence and risk checks, the contract, setting them up in finance and procurement systems, verifying bank details and granting any access they need. - [Work instruction](https://checkflow.io/glossary/work-instruction): A work instruction is a detailed, step-by-step description of how to carry out one specific task, written for the person doing it at the point where the work happens. It sits below a standard operating procedure: the SOP says what is done and by whom, the work instruction shows exactly how. ## Comparisons - [Compare CheckFlow](https://checkflow.io/compare): Side-by-side comparisons with other checklist, SOP and workflow tools. - [Airtable Alternative for Checklists](https://checkflow.io/airtable-alternative-for-checklists): Building checklists from checkbox fields and automations in Airtable?
